Business Visa

A business visa is an authorization of the designated country/countries of destination within the Schengen Area issued to the citizens of countries that have mandatory visa requirements from the Schengen Zone with the sole purpose of doing business in the EU.


The holder of this type of visa is not required to have the citizenship of the designated country in order to follow their business agenda yet such an authorization has its limitations as well.What Documents are Required When Applying for a Business Schengen Visa?

The following documents are required for a Business Schengen visa application:

  • Visa application form. Fully completed and signed.
  • Two recently taken photos must be attached. Both photos must be taken within the last three months, according to the Schengen visa photo requirements.
  • A valid passport. It should valid for at least three more months beyond the date you plan to leave the Schengen area. Older passports with visas on them (if you have any).
  • Round trip reservation or itinerary  It must include dates and flight numbers specifying entry and exit from the Schengen area. You can use the visa consultation services like this one.   • Travel insurance policy.   • Proof of accommodation. A document that shows where you will be accommodated throughout your stay in Schengen. This could be a hotel booking, a rental agreement, or a letter of invitation from a host at whose house you will be staying.
  • Proof of financial means. Evidence that you have enough money to support yourself financially during your Business trip to Europe. This can be one of the following:
    • Bank account statement – that shows you have enough money in your account for the trip. The statement shall be no older than 3 months.
    • Sponsorship Letter – by another person that confirms they will be financially supporting your trip to the Schengen. In order for this letter to be valid, it must be accompanied by a bank statement of the sponsor, no older than three months.
    • A combination of your bank account statement and a letter of sponsorship.
  • Proof of paid visa fee.
  • Cover letter. Explaining the purpose of the visit to the Schengen country.
  • A short profile of the applicant’s working place.
  • Letter from employer. Meticulously describing the purpose of the travel as well as the itinerary of the days spend within the Schengen zone.
  • Invitation letter. Written by the partner company in the Schengen zone, faxed also to the corresponding consulate. This letter has to appear as an invitation to attend meetings or other relevant events matching trade, industry or work.
  • Proof of financial means. It must be stated either in the employer’s letter or the partner company’s invitation that one of both parties will be covering the applicant’s travel expenses during his/her stay in the Schengen Zone.
  • If there were previous trade relations between the two companies proof of such an event.
  • For employees:
    • Employment contract.
    • Current bank statement of the latest 6 months.
    • Leave permission from the employer.
    • Income Tax Return (ITR) form or Certificate of Income Tax deducted at the source of salary.
  • For the self-employed:
    • A copy of your business license.
    • Company bank statement of the latest 6 months.
    • Income Tax Return (ITR).

Where to Submit the Business Schengen Visa Application?

You have to submit your application for a Business Schengen Visa to the consulate or embassy of the country where you will be entering or residing the most during your business trip.

  • If you are planning to visit only one country – then you need to apply at the embassy/consulate/visa centre of the country you will be visiting.
  • If you are planning to visit more than one country – then where you need to apply depends on the number of days you will be spending in each of the countries you will step in.
    • When spending an equal amount of days in each – then you need to apply at the embassy/consulate/visa centre of the country where you will arrive first.
    • When spending an unequal amount of days in each – then you will need to apply at the embassy/consulate/visa centre of the country where you will be spending more time.

How to Apply for a Business Schengen Visa?

There are a few simple steps to follow when applying for a business Schengen visa:

  1. Check at which Embassy/Consulate you need to apply to. In order to file your business visa application at the right place, you will need to know which country should issue you a business visa (if you are planning to visit more than one Schengen state). Then you need to check, what body of that particular country handles visa applications or whether it has outsourced visa submission to another party.
  2. Schedule an appointment at the embassy/consulate/visa centre
  3. Attend the visa interview. Take all of the required documents for a business visa with you.
  4. Wait for a response. In the meantime, the embassy will process your visa, which will go through EU security systems such as Visa Information System and Schengen Information System.

When to Apply for a Business Schengen Visa?

The earliest time to apply for a Business visa is three months before your planned trip and the latest is at most 15 working days before you intend to travel to Europe for business purposes.

The best time to apply for a Business Schengen visa is at least three weeks before your business trip to Europe.

How Long is the Business Schengen Visa Valid?

A business visa is commonly valid for stays no more than 90 days. If you will be travelling a lot and not only in one Schengen country it’s recommendable to fill in the “multiple entry” gap in the application form. This way you will be able to enter and leave Schengen Zone as you please for the amount of time allowed on your visa issued.

How Long Does it Take to Get a Business Schengen Visa?

On average, the processing time for a Business Schengen visa is 10 business days. Within this period, the applicant will be informed whether the Business Schengen visa has been granted or rejected.

However, depending on the situation, the processing time for a Business visa to Europe might take up longer if there is something extraordinary with the individual case or if any political situation is on the go.

Czech Business Visa

The Czech Republic’s central placement in Europe makes it an attractive location for foreign employees and international businesses. If you’re planning an expansion to the country, you can take advantage of good transportation and infrastructure links. However, you’ll also need to worry about meeting compliance laws related to Czech Republic work visas and permits.

Types of Work Visas in the Czech Republic

Foreigners not from the European Union (EU) or European Economic Area (EEA) must apply for a Schengen visa before entering the Czech Republic. About 40 states also have agreements with the country that allow citizens to stay for up to 90 days as long as the visit isn’t related to employment or business.

The Czech Republic has two main visa categories — long-term and short-term Schengen visas. Your employees are eligible to apply for either one for employment purposes, but they’ll still need a work permit to stay compliant. The differences between the visas follow:

Short-term: A short-term visa allows holders to stay within the area for no more than 90 days over 180 days. This larger category is broken into further visa types depending on the reason for the holder’s visit, such as business, employment, study, or tourism.

Long-term: Anyone planning on staying in the Czech Republic for more than 90 days needs a long-term Schengen visa. The application process is lengthier and may include an interview at the Czech diplomatic mission where the individual applies.

In addition to these Czech Republic working visas, the country has two long-term permits that act as both residence and work permits — the EU Blue Card and the employee card. EU Blue Cards are only eligible for EU citizens labeled as highly qualified individuals. Nationals from non-European countries can apply for an employee card if they offer skills and qualifications the country needs.

Requirements to Obtain Czech Republic Work Visas

Requirements for a Czech Republic working visa depend on the type of visa your employees need. All Schengen visas require:

A completed application form

A passport valid for at least three months before departure

Two passport-sized photos

Documents outlining the nature of the applicant’s stay, such as a work permit

Proof of travel medical insurance

Proof of intention to leave the country once the visa expires, including a plane ticket

Proof of accommodation for the duration of the stay

A document outlining the nature of the applicant’s stay

Application Process

The application process for a Czech Republic work permit rests on both the employer and the employee. Foreigners can work only in positions where you couldn’t find any suitable candidates within the Czech Republic or other EU member states. When you meet the country’s conditions, you can submit a work permit application to the Labor Office in the district where you’ll employ the foreigner. Your employees must have a work permit before entering the Czech Republic, or you’ll be held liable.

For employees to gain work permits, you must submit the following documents on their behalf:

Proof of identity

Proof of address in the foreigner’s country of permanent residence

Your company’s identification information

Information about the place, duration, and type of work

Declaration from you saying that you will employ the foreigner

Notarized copies of all academic and professional qualifications

Payment of the administration fee

Other Important Considerations

Every non-EU citizen has to register with the Foreign Police Department or at an office of the Ministry of Interior within three working days of arriving. Within 30 days, they must register at their local Foreigners’ Police Inspectorate or an office of the Ministry of Interior. EU Blue Card holders and prospective employees also need to go to the Ministry of Interior’s Department of Asylum and Migration Policy to provide biometric data within three days of arriving.

Submission of application for Czech long-term visa for the purpose of business on a completed form

 
This is to be done by the applicant in person, an appointment at the Czech Embassy has to be booked in advance (The Czech lawyers and support team of our law firm will arrange an appointment at the Embassy.). In some cases the application can be sent by mail (e.g. USA citizens).
 

1) A valid travel document (passport)
 
2) Current photographs (2x)
 
3) A document confirming availability of accommodation (lease agreement covering the whole period of stay in Czech Republic or confirmation of accommodation – a simple form will be provided)
 
4) A confirmation of sufficient funds (bank statement in the name of the applicant with balance of at least CZK 110,000; needs to be stamped by the bank, currency and name of the owner of the account as well as the final balance needs to be clear from such statement)
 
5) A document confirming the purpose of the stay (extract from the Commercial Register confirming applicant's executive position OR extract from the Czech Trade License Office if the applicant is a self-employed)
 
6) Travel medical insurance contract incl. proof of payment, travel medical insurance should cover the whole time of stay in the Czech Republic, i.e. the whole time the visa will be issued for. The insurance can be purchased online, we recommend VZP or Slavia.
 
7) Upon request a document similar to an extract from the Penal Register (issued by the state of which you are a citizen, as well as states in which, in the last three (3) years you have resided continuously for a period longer than six (6) months)/Affidavit stating clean criminal history record with a notarized signature
 
8) Upon request, a medical report stating that the foreign national does not suffer from any serious disease (usually not required)
 
All documents have to be submitted to the Ministry of Interior in originals or notarized copies (the latter is preferred) and in the Czech language or with official translation in to the Czech language, eventually the Apostille has to be attached to the official documents.
 
The applicant has two options with regards to the health insurance:
 
a) Wait for the visa application to be approved and submit the insurance contract including confirmation of payment after he/she gets a notification of approval i.e. when collecting the visa at the embassy. This option is more logical and cheaper (because we do not know when the application will be approved), therefore it is recommended by us and the insurance can be easily bought online with a credit card. The applicant will also receive all documents from the insurance company in multiple languages via email.
 
b) Purchase the health insurance (also online) in advance and submit the insurance contract and proof of payment together with the application for a long-term visa as one of its attachments. The insurance should start approximately ninety (90) days after the application is submitted (we expect this to be the soonest date of the visa approval); this option is preferred by the embassy because the application is complete from the beginning however as the applicant does not know when the LTV will be approved (between 90-120 days but may take longer in some cases) he/she has to pay insurance even for the period when they are not in the Czech Republic. This second option is however preferred by the Czech Embassies and Consulates in the USA.
 
An interview may be conducted with the employee at the Czech Embassy; the applicant may be questioned about the company (seat, employee, business activity, business plan), accommodation and also family relations. 

Where to apply? 

Either at the Embassy of the Czech Republic within the appropriate territorial jurisdiction: in the state of which the foreigner is citizen or, if applicable, the state that issued the travel document or in the state where the foreigner has long-term or permanent residence.

Russia Business Visa


The main advantage of getting a business visa to Russia is its validity period - it can be issued for a period of up to one year, but has a standard restriction: the actual period of stay of a foreigner on the territory of the Russian Federation can be no longer than 90 days within a 180-day period. In addition, an important parameter is the possible number of entries during the period of validity of the visa. The business visa can be:

Single-entry valid for 1 month or 3 months;
Double-entry valid for 1 month or 3 months;
Multiple entry valid for up to 1 year period.

You need a business visa to Russia if:

The purpose of a trip is a business visit to the Russian Federation – negotiations, contracts signing, participation in exhibitions, conferences or other meetings and events of a business nature;

Foreign specialists are being invited as consulting experts when installing or maintaining imported equipment installed on the territory of the Russian Federation;

A foreign citizen who already has a business visa has to take their family members with them;
You are a foreign citizen who plans to stay on the territory of the Russian Federation for more than one month, or simply wants to be able to enter the territory of the Russian Federation more than once. It is possible to issue a commercial invitation, even if the foreigner does not yet have an invitation from a company in the Russian Federation, since we can also arrange the invitation on our own behalf.

Getting a business visa to the Russian Federation

Overall, the process of obtaining a business visa to Russia is not very different from the procedure for obtaining other types of Russian visas, and consists of the following steps:

Step I. Getting a business invitation

A business invitation to Russia is a mandatory document for obtaining a business visa. A business invitation to the Russian Federation can be issued in electronic form (telex). Unlike the hard copy, a digital invitation or a telex does not require sending any documents by mail, instead, it is sent directly to the consulate in electronic form as soon as all checks are completed and it is ready. Upon sending the electronic invitation, we will send you an e-mail with the information about the telex, which will contain the telex number and the date when the telex arrives at the consulate. This information must be included in the form for obtaining a business visa.

Step II. Applying for a Russian business visa at the Russian Consulate.

You have to consult the consular office of the Russian Federation or their official website for the full information about the necessary documents, the time of processing a visa, and the size of the visa fee. In order for to receive a business visa to the Russian Federation, the following set of documents must be provided:

passport;
business invitation issued by a company located on the territory of the Russian Federation;
completed application form from the official website of the consulate;
photograph;
In addition, at the consulate, when issuing a business visa, documents such as a cover letter issued by the inviting company may be requested. It is not uncommon for foreigners to apply for a business visa to Russia in a country that is not the country of their citizenship. Remember, that a foreign citizen has the right to apply for a Russian business visa at any Russian consulate outside the Russian Federation. In this case, however, in a number of countries, they would be required to provide a documented permit for continued residence in the state of application for more than 90 days.

Stage III. Register your business visa upon entering the Russian Federation

After obtaining your business visa, you need to take care of the registration. Under the current law, foreign citizens are required to register at the place of their residence within 7 working days, not counting the entry day. It is important to note that if you have a multiple-entry business visa, you will have to register every time after you cross the border.

Frequently asked questions about business visa

Should I indicate the exact dates of my trip while ordering a Visa Invitation or can I put approximate dates?

You should indicate the exact visa start and expiry dates; however, you can travel to Russia at any time within this period. We recommend you to indicate the maximum validity period of the chosen business visa, for example, 90 days. Please keep in mind that visa is valid only for the exact dates, so you can neither enter the country earlier your visa’s starting date, no overstay its validity.

Can I obtain a new visa without leaving Russia?

As a rule, you should leave Russia to get a new visa at the Russian Consulate. We recommend you to apply for a new Visa Invitation well in advance and to choose the most convenient Consulate to obtain a visa.

Poland Business Visa

The sixth most populous member state of the European Union, Poland, has a population of 38.307 million and an area of 312,696km2. Officially known as the Republic of Poland, the country has one of the most dynamic economies in the EU.


It joined the Schengen Area in 2007, since when all world travelers can enter Poland with a Schengen visa, and lodge a Schengen visa application at the Polish Embassy/consulate at their country of residence.

Poland has a growing tourism, with 15 UNESCO World Heritage Sites, its capital Warsaw and other major cities as Kraków, Łódź, Wrocław, Poznań, Gdańsk and Szczecin.

Some of the top tourist attractions in Poland are the Wawel Castle, the Auschwitz-Birkenau, the Malbork Castle, the Gdansk Old Town, Masurian lakes, and of course its capital Warsaw.

Poland Entry Requirements

When you show at the Polish port of entry, you will have to present some travel and identification documents to the Austrian border officer. If you are an EEA national, all you have to carry is your identification document.

On the other hand, if you are a non-EEA citizen, you will have to submit the documents listed below:

A valid passport or travel document. Valid for at least three more months beyond your planned date of exit from Schengen, and issued within the last 10 years.

A visa – if you are subject to Polish visa regime.

Documents proving the purpose and conditions of intended stay. As i.e. an invitation letter.

Proof of sufficient financial funds. A minimum of 300 PLN or 67.76€ per 3-day stays. And an amount of at least 100 PLN or 22.59€ per each day of stay, if your trip is longer.

*British passport holders are exempt from the criteria of passport validity and issuance date.

Aside of these documents, the Polish border officer may ask you a few questions about your trip to Poland like:

What is your purpose of visiting Poland?
How long do you intend to stay in Poland?
Where are you going to stay in Poland? Etc.

Keep in mind that the border police holds the final decision if you shall be permitted to enter Poland or not. If the Polish border officer concludes that you are no risk for Poland, upon checking your documents, you will be permitted to enter Poland, and thus the Schengen territory.

Please, make sure that the Polish border officer stamps your passport when you enter Poland. Without a stamp, you could be fined or detained from Poland.

Who Needs a Schengen Visa to Enter Poland?

Apply for a short-stay visa to enter Poland and any other member country of the Schengen zone, before heading to this area, if you belong to one of the following categories:

You are a passport holder of a third-world country that has not reached a visa liberalization agreement with the Schengen states.

You are a passport holder of a third-world country that has signed a visa liberalization agreement with the Schengen states, but you were previously rejected from entering Poland or any other Schengen country.

What Documents Are Required for a Poland Schengen Visa Application?

Due to the Schengen Visa Code, to enter the Republic of Poland you will need fulfill the Poland visa requirements. The mandatory required documents for a visa to Poland are as follows:

Polish visa application form. Fulfill the form with your computer, print it and the sign it at the end.

Two identical photos. The photos should be of passport format – a recent whole-face capture with a light background. See photograph requirements & specifications.

Your valid passport. It should contain at least two blank pages in order to be able to affix the visa sticker. Check the validity of your passport before you apply, since it must be valid for at least 3 months beyond the date you exit the Schengen territory. It must be no older than 10 years, as well.

Copies of your previous visas (if applicable).

Poland Travel Health Insurance. You are required to submit a document, which confirms that you have purchased travel insurance for Poland and the whole territory of Schengen, with a minimum of €30,000 coverage for medical emergencies, and repatriation in case of death.
Round-trip Flight Itinerary. Evidence you have a booked flight, to enter and leave Poland. This document should specify flight numbers, dates, and your details.

Proof of accommodation. A document that shows where you will stay in Poland I.e. a hotel reservation.

Proof of sufficient financial means for the period of stay in Poland. The Polish embassy/consulate wants you to prove that you have a minimum of 300 PLN or 67.76€ per 3-day stays. And an amount of at least 100 PLN or 22.59€ per each day of stay, if your trip is longer that three days. If the accommodation costs are covered by a third party or prior to travel, the daily amount reduces to 20 PLN or 4.52€

A cover letter. A personal letter in which you explain why you are applying to visit Poland, how long you plan to stay, when will you leave and other details.

Proof of civil status. This could be a marriage certificate, birth certificate of children, death certificate of spouse, etc.

Additional Polish Visa Requirements for Minors

Minors applying to get a short-stay visa to Poland, or parents applying for their minor child to get a visa, will need to complete the following additional Polish Visa Requirements in their application file:

Birth certificate of the minor traveling to Poland.

Poland application form signed by both parents.

Family court order. In cases where only one parent has full custody over the child.

Certified copies of ID / passport of both parents

If the minor will be travelling alone with another person:

An original and copy of the accompanying person’s passport page containing the holder’s data, and expiry date, a recent photograph and valid visa copy.

A notarized parental authorization to travel to Poland, signed by both parents / guardians
*Note: When applying at the Polish embassy/consulate in their home country, the guardian or parent should accompany the minor.

Poland Visitor Visa Requirements

A letter from your employer. In this letter should be stated why you will be traveling to Poland.
Invitation letter from company/authority in Poland with full address, stating the purpose and duration of the business trip.

Evidence on purpose of entry – information on event/congress/trade fair, i.e. information about organizer/host incl. full address in Poland, duration of event and purpose of participation (e.g. confirmed congress participation, trade fair visitor’s ticket or exhibitor’s ticket, confirmation proof of trade fair exhibitor).

Proof of trip financing. Regarding your expenses during your stay in Poland, either the employer or the partner company must state coverage of expenses on the letter or invitation.
Poland Study Visa Requirements
You should apply for this visa if the main purpose of your trip to Poland is to attend a study course, training or an internship related to your field of study.

When applying to get a Polish Student visa, you must provide the following additional documents:

Acceptance/enrollment letter allowing attendance of courses.

No objection letter from the educational institution where you are currently enrolled (if applicable).

Internship agreement. Signed between the company in Poland, the establishment of origin and the trainee.

Poland Medical Visa Requirements

Entry tickets to the event.

Enrollment conditions & detailed program of the event in Poland.

Other documents that present names of the applicants (crewmembers) and other relevant information about the event.

Proof of previous performances. Participation in previous festivals and ceremonies (cultural, religious), sports competitions, winners certificates, proof of world/international ranking (sports).

Documents proving applicant’s qualifications for the purpose of the visit, as i.e. proof of employment in a related field, career history; certificates, diplomas, etc.

Who Can Apply for a Schengen Visa at the Polish Embassy / Consulate / VAC?

Additionally, the Polish embassy/consulate will process your application only if you meet the following criteria:

Poland is your main destination, which means:

Poland is the only Schengen country you will be visiting.

You will visiting other Schengen countries, but you will be spending more days in Poland

You will be spending an equal amount of days in each country, but you will enter the Schengen Zone through Poland.

You are one of the following:

A citizen of the country from where you are applying.

A foreign citizen on a permanent / temporary residence permit in the country from where you are applying.

You cannot apply for a short-stay Polish visa from a country in which you are currently on a visa.

How Long Does It Take to Get a Polish Visa?

The processing time for a Poland short-stay visa takes no longer than 15 days. Exceptional cases may take up 30 days, since the Polish embassies may have to consult with other Schengen consulates.

To avoid any delay in the issuance of your Polish short-stay visa, you should submit your application as soon as possible, though no earlier than three months before you travel to Poland.

How Much Does It Cost to Apply for a Polish Visa?

The Polish Schengen Visa fees are as follows:

Poland visas for adult travelers – €80
Poland visas for children (6 – 12 years) – €40
Poland visas for children (under 6 years) – Waived

Moreover, according to applicant’s nationality, purpose of visit and some other factors, there are some categories of applicants exempt from paying the fee, and others that need to pay a lower amount as well.

How Long Can We Stay in Poland Without a Visa?

The permitted length of your visa-free stay in Poland depends on your nationality. If you are a passport holder of one of the following, you can enter Poland visa free, and stay there up to 90 days:

EU / EEA member countries– you need to register at the relevant Polish authorities if you wish to stay longer.

Australia, Israel, Japan, Canada, New Zealand, Republic of South Korea or the United States of America – you need to obtain a residence permit within three months of arrival in Poland, if you wish to stay longer.

Poland visa-exempt countries – you need to obtain a Polish National visa for long-stays from you country of residence, if you wish to stay longer.

Whereas, if you are a passport holder of any of the countries that still have not signed a visa-free agreement with the Schengen Area, you must obtain a visa before heading to Poland, or any other Schengen member country.

IMPORTANT: Make sure you understand the 90/180 Schengen Visa Rule. Do not violate this rule, not even for one day, since you may face consequences for overstaying in the Schengen territory.

Can I Extend My Schengen Visa in Poland?

Yes, you can extend your Polish Schengen visa, but only in exceptional cases where new facts and special reasons arise after entry in Poland, as i.e. humanitarian reasons or force majeure.

Can My Polish Schengen Visa Be Revoked?
Yes, your Poland visa can be revoked, in case the competent Polish authorities conclude that the conditions for issuing the visa are no longer met.

If you are in Poland when the decision on the revocation of your visa happens, you will be given a deadline to leave Poland. If you do not leave the Poland or the territory of Schengen within this period, you will then be considered an illegal resident in Poland.

Please note that failure of the visa holder to provide the border officer, with the entry requirements, may also lead to a decision to annul or revoke the visa, though not automatically.

Hungary Business Visa

With the capital city of Budapest being amongst the top GDP performing cities in the world and excellent business opportunities, businessmen travel to the country to perform business activities. The Hungary business visa has made it easier for people to enter the country. 


If you are an individual looking to take part in business-related activities in Hungary, you will need to possess a Hungary Schengen business visa. However, if you are a national of the Schengen countries or of one of the visa-exempt nations for Hungary, you do not need a permit to enter. In this case, you are able to enter and stay in the country for a maximum of 90 days without any visa. However, for those who do not come under this category and need a permit, it is valid for a duration of 90 days in a 180-day period and is issued as single-entry, double-entry, or even a multiple-entry.

How to Apply for Hungary Business Visa?

The Hungarian entry permit application is done using an offline application form. There is no online method for this as of yet. Before starting the application, you must ensure that you qualify to apply for the business category. If you do not, you must apply for the one that is apt for you. After this, you may start the application process as follows- 

To start the process, you must obtain all the documents that are required for the business visit. You can check this in the list mentioned further in this guide.

Visit the website of the VAC (Visa Application Centre), or the Hungarian embassy, and download the Hungary business visa application form. The form is the same for all the short-term Schengen category for Hungary. However, in the option asking about the purpose, you must mention this as “business”. 

Fill in the application form and print it. Sign the respective places. 

Proceed to book an appointment for the submission of the documents, biometrics, as well as paying the fees. You can choose the centre to be one of the VACs, or the embassy/consulate.

With the documents and the application form, visit the respective appointment centre. You may have to give an interview at the centre.

Please note that if you have already submitted your biometrics as a part of any Schengen application in the past 5 years, you do not have to submit them again. In this specific case, you do not have to visit the appointment in person. Instead, you can use any third party to submit them on your behalf, provided that they are equipped with a letter of authorization from you.

It is important to ensure that you submit only genuine documents. Submission of fake or forged documents and false information are grounds for automatic Schengen visa rejection. A refused permit can hamper your future travel plans. 

Eligibility for Hungary Business Visa

To be able to travel to Hungary in a business category, you must meet the following conditions. If you do not, your application will be rejected. 

You must be living in a country where are lodging your application. If you are residing in a residence permit in any foreign nation, you may apply it from the respective country.

You must possess a valid passport as per the requirements.

Your main reason for the visit must be to take part in business activities such as taking part in business meetings, conferences, trade fairs, etc.

You must possess sufficient funds to cover your expenses during the stay in the country. If being sponsored, you must be able to prove this as well.

You must be invited by a Hungarian organisation/company to visit the country for business.

You must apply for the permit only if -

Hungary is your only destination, or

Hungary is one of your multiple Schengen destinations, in which case you will be spending the majority of the time here, or, 

If there is no main destination, Hungary must be your port of entry.

Documents Required for Hungary Business Visa

As per the Hungary business visa requirements, the following documents are mandatory for applying. Keep in mind that there may be additional documents depending on individual eligibility.

A valid passport- 

It must consist of at least 2 blank pages.

Passports older than 10 years are not allowed.

It should be valid for at least 6 months from the date of travel.

Old passports, if any, are to be attached.

Print out of the completed application form

A covering letter from the sending company - 

This should include traveller’s basic details.

It should clearly mention the source of funds.

It should clearly state the purpose and duration of the visit.

It must be on the company letterhead and must contain the seal. 

It should be addressed to the Embassy of Hungary

Invitation letter from the Hungarian organisation/company stating complete details of the visit, in the Hungarian language

Travel itinerary/documents - 

A detailed travel itinerary 

Round trip flight tickets

Proof of accommodation 

Medical travel insurance coverage up to at least 30000 Euros

Proof of occupation -

Proof of occupation such as employment letter, Copy of business license, etc.

Financial documents -

Financial documents such as bank statements of the past 3 months, Passbook copy, ITR, etc.

Ensure that you carry all the original documents with you to the appointment centre. These will be verified by the officials there. However, you may have to submit only photocopies of a few of these documents as they will not be returned back.

Hungary Business Visa Processing Time

The time taken to process the business permit depends on aspects such as the number of entries, the volume of applications at the embassy, previous travel history, and so on. Normally, this process takes around 15 working days. However, in some cases, it may take up to 30 working days. In certain extreme cases, this can even take up to as long as 60 days. Since it is impossible to pinpoint the exact number of days for processing, it is suggested that you apply for the permit well in advance. You must apply at least 15 days before the date of travel, but no more than 3 months before.

Hungary Business Visa Fees

The fees for the process depends on a few factors such as the number of entries, the Hungary business visa duration, biometric charges, as well as any other service charges. Without prior notice, it can also vary upon the foreign exchange rates. As a result, it is necessary to determine the exact fees before starting the application process.

After Submission

Upon successful submission at the appointment centre, and the payment of fees, the application will be sent to the embassy or consulate for processing depending on the jurisdiction. Note that even though the VAC has full authority to accept the applications and take the biometrics, they have no role in the processing of the application. The processing is solely in the hands of the embassy or consulate.

If your application is successful, you can collect the passport and visa in person from the VAC/embassy, or you can have it delivered to you by the VAC for a specific fee. You may also get a third party to collect it for you, provided that they carry an authorization letter signed by you. 

How to Check Visa Status?

While you wait for a decision on your application, you may track the status of your application. You can do this by visiting https://www.vfsvisaonline.com/Global-Passporttracking and entering your reference number and date of birth. You may also contact the respective travel agency to know the status. The embassy directly will not provide answers to any queries regarding the status.

When you have this visa

Upon successful receipt of the business permit, you must follow the below-mentioned points. These are to ensure that you abide by the rules and have a pleasant stay in the country.

Keep a track of the expiry date, duration of allowed stay, and the number of entries mentioned on the visa sticker. 

Carry all the documents without fail while travelling. You may have to show copies of the documents required for the application at the entry port.

Ensure that you travel to Hungary within 6 months of the issue date. After this date, you will not be allowed to travel as the permit will become invalid.

While you are in the country, carry a copy of your travel documents with you. Also, ensure that you maintain the original documents safe. 

While you are on a business permit, you are not allowed to take part in work activities. However, you are allowed to engage in other activities that fall under the Schengen short term category such as tourism, visiting friends, etc.

You will not be able to extend the business visa under normal circumstances.

Since this is a Schengen type, you are allowed to visit any of the other Schengen nations. However, if you receive the Limited Territorial Validity (LTV) type, you can only visit the countries that are specifically listed on the sticker.

While you are in the country, you must respect their tradition and culture. You must also abide by the Hungarian immigration laws.

If your company is planning to open a new location in Hungary, however, you need to understand all the different regulations and laws. For example, do you know how to get a work visa in Hungary for every foreign employee?

Types of Work Visas in Hungary

All non-EU citizens must have a work visa and work permit to live and work in Hungary. As the employer, you’re responsible for the majority of the process, including providing documents to the immigration authorities. Some of the options include:

Individual work permits: Foreign nationals wanting to work in Hungary for no more than 90 days over 180 days should apply for an individual work permit.

Joint work permits: Joint work permits are for foreign nationals intending to work in Hungary for more than 90 days within 180 days.

Residence permits: Residence permits, also known as tartózkodási engedély, permit residency for up to 90 days.

Single application procedure: A third-country national can stay in Hungary for more than 90 days but less than 180 days through the single application procedure. This permit is based on an employment relationship with a Hungarian employer.

In addition to a work permit, your employees will need a Hungary work visa. Available visa types follow:

Seasonal employment visa: Anyone working in agriculture, horticulture, animal husbandry, or fishing must have a work permit and a seasonal employment visa. This visa counts for both single and multiple entries and allows the applicant to work for greater than three but fewer than six months.

EU Blue Card: Any high-skill worker from an EU member country can get an EU Blue Card as long as they also have a residence permit. They’ll need to prove 18 months of lawful stay in a member state to be eligible.

Schengen business visa: Non-European citizens traveling to a Schengen country for short-term business purposes can get this visa for single or multiple entries. It allows holders to stay in the country for 90 days over six months.

Working Schengen visa: Anyone traveling to Hungary for short-term employment opportunities should apply for this visa.

Requirements to Obtain Hungary Work Visas

You must obtain work permits on behalf of all employees after meeting numerous requirements. First, advertise the job in the Hungarian Labor Office for 15 days to allow unemployed Hungarian nationals to apply. Then, submit a valid manpower request to the regional branch of the labor center. Hungary has quotas for foreign employees, and your number of work permits for foreigners cannot exceed the average number of workers requested by employers during the previous year.

From there, you can follow the general or simplified procedure. The labor center will make a final decision on whether you can get the work permit within 10 to 30 days of you applying. Once it’s approved, you’ll get a resolution issued by the labor center.

Application Process

Every Hungary working visa has a different application process. For example, some of your employees may be eligible for an EU Blue Card. They’ll need to:

Have a valid travel document

Certify the purpose of their entry and exit

Meet the legal employment conditions

Have full-coverage health insurance

Report a valid address for their stay in Hungary

The application procedure involves submitting a valid passport, biometric data, an application, and the documents above. After approving the EU Blue Card, the regional directorate will grant permission to issue a residence permit visa and notify the Consular Officers.

Other Important Considerations

If you want to employ European Economic Area (EEA) citizens, remember that you don’t need to create an employment arrangement or acquire work permits. However, you must notify the Labor Center about employment and provide certain data, including the number of people employed along with their age, citizenship, qualifications, and more. The Hungarian Employment Center will verify the notification, which you should keep three years after terminating the employee.
